Chown Memorial and Chinese United Church located in the Cambie Village area of Vancouver is looking for a part-time administrative secretary.  This office role supports two ministers who oversee a bilingual (English and Cantonese) congregation and is part of a team that helps in the overall nurture and growth of all aspects of congregational life. 

Function:  Provides administrative support to the ministers that assist in the nurture and growth of all aspects of the congregational life of CMCUC

The successful applicant should be friendly, with good interpersonal communication skills, have easy mastery of all appropriate computer skills, systems, and programs

Job Duties and Tasks

Communications tasks

  • Preparation of communication, correspondence material and reports such as weekly worship bulletins, order of service, powerpoint components & filing monthly Board meeting minutes;
  • Maintain effective communication within the congregation, ministers, & committees: including by email, posters, Sunday bulletin notice, phone. ie. Prepare & publish weekly/monthly news updates from ministers to membership list as needed.
  • Maintain/update church website in both English and Chinese weekly
  • Other secretarial duties as required

Coordination

  • Coordinates all aspects of facility booking according to Property Committee policy including a) use of the building by church groups; b) room rentals by outside groups
  • Support ministers in planning, coordinating, and follow-through of all church

ministry events, whether regular meetings, groups, or special occasions

  • Coordinates in conjunction with the property committee arrangements for

maintenance of all Church properties and the supervision of caretaker/cleaners

Accounting/Bookkeeping Tasks

  • Deposit incoming cheques from rentals or special donation.
  • Collect and distribute invoices and receipts for reimbursement; file copies for records (all via Bookkeeper and Accountant)             

Reports to:   Accountability directly to the ministers for daily task fulfilment, under the supervision of Ministry & Personnel Committee of the Official Board.

 

Qualifications:  High School graduation and completion of a recognized office administration program and three years experience or an equivalent combination of education, training and experience.  Experience working for a non-profit Christian organization an asset.

Excellent communication skills.  Proven ability to communicate effectively both verbally and in writing. Excellent customer service skills. Proven ability to display tact and diplomacy while interacting with people of various ages, cultures and languages.  Full command of English and Chinese language (Cantonese) written and verbal.  Mandarin language skills an asset. Full computer proficiency including working knowledge of MS Publisher and MS Office suite:  Word, Excel, PowerPoint.  Knowledge of website maintenance is an asset.

  • Hours per week: 25 – 30 hours
  • Hourly rate starting $ 17.00 hour.
